Prior to the June board meeting, a board member raised a number of objections to the way the board has been functioning, including objections to the format and content of meeting minutes. The President and Secretary of the board met with the association's legal counsel to review the objections and ensure that the meeting minutes for the association are being recorded in compliance with the requirements of the law. Pam's update review: Discussed units in arrears - Identified impact fee that needed to be assessed to a unit. Discussed insurance review - Fire Suppression Sprinkler System Inspection - The sprinkler system is supposed to be inspected on an annual basis, including the sprinkler heads inside of each unit. The board is proceeding with this necessary inspection on Thursday, July 10th, and residents are asked to cooperate in providing the inspectors with access to your units in order to examine the sprinkler heads. - Fitness Room - The Board decided to issue an exercise equipment survey. - Door Code Update - The access codes for the doors and pedestrian gates will be changed on July 30th - Communication to follow from the board Rental Spreadsheet - discussed status of suspected illegal rental. - Agreed to have CMA send letters to all owners leasing their units - both approved and not approved, to remind them of their obligation to follow our leasing covenants. This includes their responsibility to provide copies of their lease to the board in a timely matter or lose their ability to lease. This also includes a letter to those leasing without approval stating that they have amnesty up until their current lease anniversary end date, commencing in January of this year. - Agreed to ask for an affidavit substantiating familial relationships from two units Reviewed Financials - the board met its commitment for reserve savings for May Committees: Landscaping: The board approved payment of the bill for the recent landscaping improvements to the courtyard. All board members voted in favor. Landscaping expenses for 2014 may exceed the projected budget. The committee will determine what expenditures remain and report to the board. Finance: The board approved funding to update the reserve study. Maintenance: Discussed proceeding with parking lot resurfacing project. Social: Discussed preparation for our Screen on the Green event on June 28th. Early in the New Year we will provide everyone in the PML community with an opportunity to provide input regarding changes to the current PML gate access and parking upgrades. We will be scheduling an informational meeting date in mid-January. Please look out for that communication, as it will provide you with an opportunity to express your preferences, concerns and ideas. We are eager to work with all residents to reach agreement on solutions that address the concerns raised by many in terms of security, access, and better overall management of our PML parking. PEDESTRIAN GATE ACCESS: We will be (re)installing a call box at the Peachtree Road pedestrian entrance in the coming weeks. This will provide ease of entry for visitors on foot, deliveries, etc. PARKING STICKERS: Those who purchased/will purchase fobs were also provided with parking stickers. However, there is no need to display your parking sticker yet. We will be inviting the community to provide input on this aspect before a final decision is made. The new key fobs and call boxes provide better visibility and control over who has access to our community. The current gate code is known to every resident and is often shared with guests, delivery people, and other non-residents. With a call box, non-residents will only be able to drive a vehicle into the community if a resident buzzes them in. Furthermore, the key fobs can be individually deactivated if necessary, such as in the case that they are lost or stolen. This enhances our overall security and safety in the community. My Key Fob isn't working! What do I do? The battery in your key fob may have failed. Replacing the battery is easy. The battery is a cr2032 and can be purchased at any drug store or big box retailer for just a few dollars. Pop open the case with a dime using the slot on the side. Pop the battery out with a toothpick or thumbnail (best not to use anything metal). Replace with a new battery, and reassemble. If your key fob still isn't working please email the board at PMLofts@gmail.com, and provide your name, unit number, and fob number, and we'll investigate. I am expecting guests, how do they reach me when they arrive at PML? Please have your guests who are arriving via a vehicle look up your name on the call box they can then contact you via the phone number you have provided to the Board for this purpose. When someone calls me from the call box, how do I activate the gate to let them in? Press 9 on your phone, and the gates will open. There is a limit of two telephone numbers per unit. I am an owner who leases my unit. Can I also purchase a fob? Fobs are provided for residents only. Your renters phone number and your phone number can be programmed into the call box. I lost my fob what do I do? Please notify CMA/the Board ASAP and we will deactivate the fob number registered to you. You can then purchase a new fob for $40, and be reprogrammed into the system. I am leasing my unit, and my renter moved without returning the fob to me. What do I do? Please notify CMA/the Board ASAP and we will deactivate the fob number, thereby making it useless to anyone trying to enter the community. We will also need to know in order to remove their name and phone number from the call box. I am selling my unit can the new owners use my fob? You must notify CMA/the Board when you are selling your unit (per our covenants), and in turn, the fob you used can then be reassigned to the new owners provided we have their name(s) and phone numbers to enter into the system and call box. Otherwise it will be deactivated once you move. Someone I know is going to be parking in my assigned space do I need to advise anyone? No provided the vehicle meets our covenant requirements, and if its okay with you, there is no need to do anything further.
